MP2 is rolling along fast!

Well, it has been a while since the last blog. Things are moving fast. More and more MP2 clients are signing up for Managed Print Services. At DTS, we really worked hard in putting together the best aspects of a Managed Print Services solution. All from our internal software, our service department procedures, our parts and supplies to the software that clients can utilize on their end.

Find out why everyone who gets introduced to the program and the benefits get as excited as we do about it. Just go to http://dtsimaging.com/managedprint.htm or call us at 952-516-7900.

Our document management offering has expanded also. Now we can provide true integration into ANY back-end software your company is using. One of the best features I like about this is that the end user needs very little training. They just end up working smarter and abundantly more efficient.

Contact me at DTS and just ask!!!

Catching up...

Due to having a load of business, I haven't posted in a while..that is a good problem - right? Especially in these times. You hear of all the big dogs being down in business around 30%. I am happy to say, we are not in that camp. There is something here at DTS that keeps that from happening to us despite the current economy. Perhaps it is because we strive to bring the best value with honesty to our clients. Wow what a novel concept. That is why I love my job.

I trust to get a few more blogs out in the next couple of weeks. Some of the first will deal with the revamped and re-branded package of our managed print services being rolled out. Why revamped and re-branded? Because we have been running into more and more companies jumping on this bandwagon and we see some crazy stuff going on. We have always brought value and hand work into everything we do. I think we have been slack in promoting it, so we branded it and are explaining the values that separate us from the pack. Stay tuned!

Next up, I will revisit the security blog. What timing! Is there actually someone reading this blog? CBS news just did a great story on document security and brought to more consumers the knowledge of how these newer MFP's work and what happens to them when your lease is up. Yea, it is worth revisiting.

Next up, I will be addressing some of the newest features in the document management world. There is some really neat stuff that has been just introduced. I am proud to be in my current position and have the ability to help companies streamline workflow, work smarter and save money. Yes, that actually does happen!

We have a great technology open house complete with seminars, prizes and food coming up next week on the 5th. I will resume after that. If you are in the Minneapolis area and would like to stop in, please contact us. How? Just click one of the pictures above.

Copier/MFP Security - Yes, Be Concerned

Security Brief

Common Criteria Certification/NIAP

The National Institute of Standards and Technology and the National Security Agency (NSA) have established a program under the National Information Assurance Partnership (NIAP) to evaluate IT product conformance to international standards. Common Criteria certification is required for devices used by the federal government for national security to ensure the integrity of the government’s most sensitive and critical data. Other industries, including healthcare, can benefit from the government’s initiative by choosing devices that have achieved NIAP’s Common Criteria certification.

The objectives of NIAP are:
•    To meet the needs of government and industry for cost-effective evaluation of IT products;
•    To encourage the formation of commercial security testing laboratories and the development of a private sector security testing industry;
•    To ensure that security evaluations of IT products are performed to consistent standards;
•    To improve the availability of evaluated IT products.

What is at Risk?

An MFP is a powerful asset in your office's environment. Left unsecured however, an MFP can pose one of the greatest threats to your organization. Just consider the types of documents that are copied, printed, faxed or scanned on a daily basis - personal information, financial statements, confidential reports, e-mails, memos, customer data, and employee information.
Intellectual property, private and personal information becomes portable once processed by an MFP, and is extremely susceptible to malicious use from both internal and external threats. While not all risks to confidential information are considered malicious, the potential for significant damage from inadequate protection can be only a matter of time.

Common Vulnerabilities

Some of the most common vulnerabilities associated with an unsecured MFP include:
•    Loss of productivity
•    Regulatory non-compliance
•    Loss of access
•    Stolen information
•    Lawsuits
•    Unauthorized use
Sharp and Security

Sharp wins Most Secure MFP Range - 6th Consecutive Year – 2009
Technology makes an ever-increasing contribution to profitability in today's highly competitive business landscape. However, the same technology that enables high productivity in the workplace can easily be compromised if not sufficiently secured. The consequences of inadequate protection could be financial loss, identity theft, risk to intellectual property, or even fines and criminal charges in the most severe cases.
Organizations spend significant capital to protect digital assets from threats, yet frequently overlook one of the most integral devices in use today - the office Multi-Function Peripheral (MFP). The more advanced and integrated MFPs become, the greater the risk to confidential information during the document's life cycle when it is being copied, printed, scanned or faxed. For a comprehensive security strategy to be effective, it is imperative for organizations to demand a greater level of protection from MFP vulnerabilities.
Sharp was the first to address security in digital imaging and received the first Common Criteria Validation for an MFP in 2001. Even today, Sharp remains the highest rated company in validated MFP products and is regarded as one of the industry's greatest security innovators. Businesses and government agencies worldwide have come to depend on this level of assurance, which Sharp pioneered and for which it continues to set the benchmark.

Managed Print Services

Documents are the lifeblood of business. Whether they are digital or paper, documents are the integral part of all business processes. Controlling documents can be a very complex endeavor. I have written a few blog post concerning turning paper into a digital format and applying workflow, security and many other aspects of these digital docs. Most printing is wrapped up into a wider business process. This post addresses controlling your print output.

Most print output is produced right there in your office, it could be produced at multiple sites or even across a broad regional base. Most cost are invisible as a total spend from companies because it is usually wrapped into departmental budgets. Lets look at some ways to control the most critical area of print output, right there at the local environment - printing right there in the office. This is often the most fragmented and, good news, usually the easiest to control. This is also the area where the most money and workflow efficiency savings are derived from.
By taking on a fresh, strategic approach, you can add many benefits such as increased sustainability, cost savings and enhanced security. Lets face it, poor management results in costing time and money.
Increasing security and streamlining processes does not have to be complicated. Your biggest challenge is probably going to be finding a trusted partner. A partner that will help you set a baseline and achieve goals for greater governance and enforcing compliance that will fit into your business's culture.
